Delete account and data

MICE Cloud is software from Ascensus GmbH for meeting and event enquiries in hotels. This page explains how to request deletion of your account in the “MICE Cloud” app (Android and iOS) and of the associated data.

Hotel staff (user account)

Your account was created by your hotel. To request deletion:

1. Through your hotel: Ask an administrator at your hotel to remove your account in MICE Cloud under “Settings › Team”.
2. Directly with us: Email info@mice-cloud.de with the subject “Delete account”, the email address of your account and the name of your hotel. We will confirm receipt, clarify the request with your hotel and delete your account within 30 days.

Hotels (entire customer account)

All of a hotel’s data is deleted when the contract is terminated. To terminate, email info@mice-cloud.de. The data is deleted within 30 days after the contract ends, unless a retention obligation applies.

Guests and organisers (enquiries, bookings, guest portal)

MICE Cloud processes your enquiry and booking data on behalf of the respective hotel. Please contact the hotel to request deletion; we support the hotel in carrying it out. You can also contact us and we will forward your request.

What is deleted

• Your user account: name, email address, password (stored only as a non-reversible hash), role, personal settings, sign-in data and sessions
• Notifications assigned to you

What is retained and for how long

• Invoices and booking records: statutory retention under the German Commercial Code (HGB) and Fiscal Code (AO), generally 8 years for booking records and 10 years for books and financial statements. Your name may remain in them but is not used any further.
• Change log entries (who changed what and when): kept for traceability and deleted when the statutory or contractual periods expire.
• Backups: Deleted data may remain in backups for up to 30 days and is then removed as the backups rotate.
