General

What is MICE Cloud?

MICE Cloud is software for event management in hotels. It connects online enquiries, room and catering planning, proposals, customer management and invoices. MICE stands for Meetings, Incentives, Conventions and Events.

How does the booking pipeline work?

Guests go through five steps: your occasion, overnight stay, your venue, well looked after and your request. The details submitted are processed as an enquiry at the hotel. By default, submitting is not yet a confirmation by the hotel.

What can I configure for my hotel?

For each booking wizard, event types, rooms, catering packages and extras can be selected. In addition there are pricing rules, individual questions and integration into your website. The scope depends on your setup and the services agreed with you.

Do I need a PMS for this?

MICE Cloud can be used standalone. The 3RPMS integration is available; Apaleo, ibelsa and SIHOT are in progress. For Apaleo and ibelsa, the first step is showing available overnight rooms at the event enquiry.

Pricing and setup

Can I already use MICE Cloud?

Yes. MICE Cloud is available. Request a non-binding individual quote and we will set up your hotel personally.

What does MICE Cloud cost?

Prices depend on the number of meeting rooms and are net per month. A set-up fee and a training flat fee are added. The tiers are listed on the pricing page; for larger properties and multiple sites we prepare an individual quote.

Which features are available in my hotel?

All plans include the same features: meeting enquiries, proposals, CRM, event planning, invoicing (optional) and the mobile app. Your plan depends on the number of your meeting rooms. The connection to your PMS depends on the provider.

How do I get a suitable quote?

Talk to us about your hotel and your workflows. We will prepare an individual quote, even for special requirements.

Booking pipeline

Are the five steps identical for every hotel?

The basic steps are your occasion, overnight stay, your venue, well looked after and your request. Which event types, rooms, packages and extras are offered in them can be configured per wizard.

Can a guest plan several event days differently?

Yes. The system supports daily configurations for rooms and catering. Days without a meeting room, for example for a social programme, can also be taken into account.

How are the prices in the proposal determined?

The calculation takes the selected services and the stored terms into account. Room terms, company agreements, wizard pricing rules and discount codes have defined roles. Applied discounts and surcharges are shown transparently in the proposal.

Is a booking binding as soon as it is submitted?

The guest submits a reservation enquiry. The hotel checks the details and the date and confirms the event afterwards.

What happens after the enquiry?

Your team can process the enquiry, create and send proposals, maintain the booking status and use configured follow-up chains. Customer history, documents and invoices support the further steps.

Enquiry overview and proposal

How does the company receive its enquiry overview?

After submitting, the success page offers “Enquiry overview as PDF” (download of the PDF, if it was generated) and “Print overview”. This way the company can save the details and pass them on.

Is the PDF sent by email automatically?

The PDF is sent as an attachment to the confirmation email, provided it was generated and email delivery is configured. If the room price is still open, there is no PDF.

Which manual work does the hotel save?

For the selected and stored services, re-entering and formatting the first proposal document is no longer necessary. Individual requests, adjustments and the binding confirmation remain tasks of your team.

Is the proposal already a binding booking?

No. The company submits an event enquiry. Your hotel checks the date and details and confirms the event afterwards.

CRM

Who is the CRM intended for?

The CRM supports conference sales, banquet and event departments in hotels in looking after corporate and private customers and in following up event enquiries.

Can several contacts be maintained for one company?

Yes. Several contacts with contact details and department can be stored for one customer. One contact can be marked as the main contact.

What can be documented as an activity?

Phone calls, emails, meetings, notes and tasks can be recorded as activities. Due dates and responsibilities can be stored for follow-ups. Automatic synchronisation of the whole mailbox is not promised.

Are follow-ups and reminders the same thing?

Personal reminders organise your team’s tasks. Configurable follow-up chains complement this workflow with rule-based communication. The desired rules and responsibilities are set up for your hotel.
